How to Use the WhatsApp Business Custom Action in HubSpot

A step-by-step guide to setting up and using the Octopods WhatsApp Business Custom Action inside HubSpot Workflows.

Follow this guide to set up and use our WhatsApp Business Custom Action inside your HubSpot workflows.

Prerequisite

If you haven't already, please sign up to Octopods & create a WhatsApp Channel Connection by following this guide.


Step 1 — Create a Workflow

Navigate to your HubSpot Workflows page and create a new workflow.

You can use an existing workflow if you already have one set up.


Step 2 — Important: Use a Contact-Based Workflow

Our WhatsApp Business Custom Action only works with contact-based workflows. Make sure the workflow type is Contact. If you choose Company, Deal, or Ticket workflows, the action will not be available.

Additionally, ensure that each contact you enroll has either the “Mobile Phone Number” or “Phone” field populated.
The custom action depends on these fields to send the template, and it will not run if both fields are empty.


Step 3 — Select the WhatsApp Business Custom Action

In the workflow editor, click the + button to add a new action. Scroll or search for your integrated apps, and select the WhatsApp Business By Octopods tab.


Step 4 — Configure Your WhatsApp Template Message​

Choose:

  • The WhatsApp phone number you want to send from.

  • The Message Template.

  • The template variables are where you can also insert HubSpot personalization tokens (e.g., contact fields).

  • Note the "Requirements" field that shows you the exact number of variables needed and their type.


Step 5 — Enroll Your Contacts

Add contacts to the workflow (either manually or through enrollment triggers) and turn the workflow on.


Octopods will now send your template message using your selected WhatsApp number based on your workflow logic!
