HubSpot Workspace Feature Toggles

A single reference for every HubSpot-specific toggle in your workspace, where to find each one, what it does, and the permissions it needs.

How HubSpot settings are organized

HubSpot-specific options live on each channel’s settings page, not in a single global panel. The reason is that different channels support different features — WhatsApp has contact sync, Instagram and Messenger have comment syncing, and social channels have identifier matching — so each toggle appears where it’s relevant.

To find any HubSpot toggle:

  1. Sign in to Octopods and open your HubSpot workspace.

  2. Open the channel you want to configure.

  3. Scroll through the settings page to find the section you need.

Each section described below lists exactly where it appears and which channels it applies to.

Associate HubSpot Conversation

Where: Every channel’s settings page, in the Associate HubSpot Conversation section. Applies to: All channel types.

When enabled, every conversation on this channel is automatically linked to the messaging contact’s associated companies and deals in HubSpot. Company owners and deal owners see messaging activity in their CRM timelines without any extra clicks.

Extra permissions: Yes — this toggle needs HubSpot permissions that aren’t granted at initial connection. The first time you enable it, the panel shows an Additional Permissions Required warning with a Reconnect HubSpot button. Clicking the button opens HubSpot’s authorization page so you can approve the extra scopes (access to companies and deals). When the reconnect succeeds, the section shows Association Syncing Enabled and the feature is active.

Create HubSpot Contact for Channel Users

Where: Instagram, Messenger, and Telegram channel settings pages, in the Create HubSpot Contact for Channel Users section. Applies to: Instagram, Messenger, and Telegram.

When enabled, a new HubSpot contact is created automatically the first time someone messages you on this channel, so the conversation has a contact record to attach to. When disabled, messages still open conversations, but no new contacts are created — unmatched senders appear as anonymous channel users.

Extra permissions: None beyond what’s required to connect the channel.

The two radio options in the setting are:

  • Create a HubSpot contact when a new conversation starts — the default for most teams.

  • Do not create HubSpot contacts automatically — useful if you want to keep HubSpot contacts limited to customers you’ve qualified elsewhere.

Advanced Contact Matching & Identification

Where: Instagram, Messenger, and Telegram channel settings pages, in the Advanced contact matching & identification section. Applies to: Instagram, Messenger, and Telegram.

When enabled, Octopods matches incoming messages to existing HubSpot contacts by looking up the sender’s channel identifier in a HubSpot property of your choice. This lets you link messages to contacts even when the contact’s email or phone isn’t on the messaging platform.

Configure two dropdowns:

  • Channel identifier — the identifier from the messaging platform (for example, Instagram username or Instagram user ID).

  • HubSpot contact property — the HubSpot property where that identifier is stored.

Click Update HubSpot Contact Creation to save. Messenger only supports User ID because Messenger doesn’t expose a stable username.

Extra permissions: None.

Open Closed Conversation Thread

Where: Every channel’s settings page, in the Open Closed Conversation Thread section. Applies to: All channel types.

When enabled, incoming messages on a closed HubSpot conversation thread automatically reopen that thread instead of creating a new one. Agents see the full history in one place and don’t have to hunt across threads.

Click Update HubSpot Open Conversation to save the toggle.

Extra permissions: None.

Instagram and Facebook Comment Syncing

Where: Instagram channel settings (section titled Instagram Comments) and Messenger channel settings (section titled Facebook Comments). Applies to: Instagram and Facebook Messenger only.

When enabled, Octopods’s AI classifies every new comment on your Instagram posts or your connected Facebook page’s content. Comments matching the categories you selected open conversations in your HubSpot inbox. Everything else is ignored so your inbox stays focused.

Choose from nine built-in categories across two groups — Important Comments (Questions, Complaints, Purchase Intent, Bug Reports, Feature Requests) and Optional Categories (Praise, Emoji-only, Mentions, Giveaways). You can also create up to five custom categories per channel.

Click Update Comment Settings to save.

Extra permissions: Yes — comment syncing requires additional Facebook or Instagram permissions that aren’t granted during initial channel connection. If the panel shows a New Feature: Comment Management Now Available! banner with a Reconnect Instagram or Reconnect Facebook link, click it and complete the reauthorization.

WhatsApp Contact Sync

Where: Triggered by the WhatsApp Business Platform onboarding flow, not an Octopods toggle. Applies to: WhatsApp Business Platform channels only.

During WhatsApp Business onboarding, WhatsApp asks whether you want to share your existing Business contacts. If you agree, Octopods mirrors those contacts into HubSpot — matching each phone number to an existing HubSpot contact or creating one if no match is found. WhatsApp also pushes ongoing contact updates to Octopods in the background as your Business account changes.

There is no enable/disable control in the Octopods UI for this behavior; consent is given once during WhatsApp onboarding.

Extra permissions: Octopods needs write access to HubSpot contacts. If that permission is missing, reauthorize the HubSpot integration.

Who can change these toggles

All of the toggles above are restricted to workspace admins. Standard members can view current settings but can’t enable or disable any of them. If you need a toggle changed and you’re not an admin, ask a workspace admin or your HubSpot admin to make the change.

Tips for rolling out changes

  • Enable one feature at a time. Association syncing, comment syncing, and contact creation each change the shape of your HubSpot data. Roll them out separately so you can confirm each one behaves as expected.

  • Test with a single channel first. Enable a feature on one channel, run a few real conversations, then apply the same setting to other channels once you’re confident.

  • Re-authorize once, not repeatedly. If a toggle asks you to reconnect HubSpot, Facebook, or Instagram, completing the reconnection fixes every toggle that needed the same extra scope — you don’t have to repeat the flow for each one.
