Before you begin
Only admins can send invitations. If you don’t see an Invite Member button on the Team Members page, ask an admin on your account to invite the new teammate instead. For the full role breakdown, see Managing Team Member Roles.
Important: Octopods only accepts business email addresses for invitations. Free-mail providers (Gmail, Yahoo, Outlook, and similar), disposable-address services, and domains that fail an email-delivery check are rejected with the error “Email is invalid! Please only use business emails to invite admins.”
Open the Team Members page
Sign in to Octopods.
Open Settings from the main navigation.
In the Settings side menu, click Team Members.
You land on the Team Members page. The section heading reads Account Team Members with the subtitle “Manage who has access to your Octopods account.” The page lists everyone on your team with their Name, Email, Invited By, Status, Role, and (for admins) Actions.
Send an invitation
Click Invite Member in the top right of the Team Members page. The invitation form opens with the heading “Invite a team member” and the subtitle “They’ll receive an email with instructions to join”.
In the Email field, enter the teammate’s business email address. The placeholder shows the expected format (
colleague@company.com).Open the Role dropdown labeled “Select a role” and choose either Admin or Member. Admins can manage the team, billing, and workspace settings; members have standard access. You can change this later.
Click Send an invitation.
Octopods emails the invitation and returns you to the Connected Workspaces page. The new teammate appears in the Team Members list with the status Pending until they accept.
What the invitee receives
The invitee gets an email titled Invitation instructions from Octopods. The heading reads “You’re Invited to Join Octopods!” and the body explains that they’ve been invited to join a team on Octopods and can accept the invitation to set up their account.
The email includes an Accept invitation button. Below the button, a line shows the exact date and time the invitation expires. Invitations are valid for 4 weeks from the time they are sent — if a teammate doesn’t accept in that window, the accept link stops working and you need to send a fresh invitation.
Note: Invitation emails sometimes land in spam or promotions folders. If your teammate can’t find theirs, ask them to check those folders, then verify the email address in the Team Members list. You can resend the invitation by revoking the pending invite and inviting the teammate again.
How the invitee joins
When the teammate clicks Accept invitation in the email, they land on a page titled “Accept your invitation” with the subtitle “Set up your account to join the team”. They complete the following fields:
Full name — their name as it should appear on the team.
Phone number (Optional) — in international format.
Preferred channel — the messaging channel they use most (WhatsApp, Messenger, Instagram, SMS, or Other).
Password — a password they choose for signing in.
Password confirmation — the same password retyped.
They click Set my password to finish setting up the account.
Once they submit the form, their status in your Team Members list changes from Pending to Accepted and they can sign in immediately.
Pending invitations
An invited teammate who hasn’t accepted yet shows up in the Team Members list with the status Pending. They don’t have access to your account until they accept.
While the invitation is pending, the Actions column shows a Revoke button. Clicking it — and confirming “Are you sure you want to revoke this invitation?” — cancels the pending invitation immediately. Octopods confirms with “Invitation has been revoked.” After that, the teammate’s accept link no longer works and you can invite them again with a fresh link.
