Creating a New Workspace

Connecting a new workspace links Octopods to an Intercom workspace or HubSpot portal — giving you a place to add messaging channels.

Before you begin

To connect a new workspace you need:

  • Admin access in Octopods. Only admins can connect workspaces. If you don’t have admin access, Octopods shows the message “You don’t have the permissions to connect workspaces. Please contact the account admin to update your role.”

  • Admin access in the customer platform. You’ll need admin rights in the Intercom workspace or HubSpot portal you’re connecting, because the platform asks you to approve Octopods’ access during authorization.

  • The right account. Each customer platform account (Intercom workspace or HubSpot portal) can only be connected to one Octopods account at a time. If the same account is already connected somewhere else, the connection won’t go through.

Step 1: Open the Connected Workspaces page

Sign in to Octopods. You land on the Connected Workspaces page automatically.

  • If this is your first workspace, you’ll see the welcome state with “Thanks for signing up!” and a “Step 1 of 2” badge.

  • If you’ve connected workspaces before, you’ll see the existing list. Use the same page to add another workspace.

Step 2: Pick the customer platform

Two options are available, one per supported platform:

  • Connect Intercom — for an Intercom workspace.

  • Connect HubSpot — for a HubSpot portal.

Each option appears as a card with a short description and a Connect button.

Step 3: Authorize the connection

Click Connect. Octopods redirects you to the customer platform’s authorization screen.

For Intercom: sign in to Intercom, pick the workspace you want to connect, and review and approve the access Octopods is requesting. Intercom redirects you back to Octopods, and the new Intercom workspace appears on the Connected Workspaces page with an Active status. For a full walkthrough, see Connecting an Intercom Workspace.

For HubSpot: sign in to HubSpot, pick the portal you want to connect, and review and approve the scopes Octopods is requesting. HubSpot redirects you back to Octopods, and the new HubSpot workspace appears on the Connected Workspaces page, identified as “Portal ID #” followed by your portal ID. Step 4: Add channels to the workspace

Click the new workspace card to open it. Because it’s brand new, the channel list will be empty — Octopods prompts you to add your first channel.

From here you can add WhatsApp, SMS, Telegram, Messenger, and any other channel supported on your platform. Each channel has its own setup steps, which you complete inside the workspace.

What happens after you connect

A connected workspace:

  • Appears on the Connected Workspaces page with an Active badge.

  • Records the admin who connected it under Added by.

  • Is ready to accept new channels — there’s nothing else to configure at the workspace level before you start adding channels.

Common things that go wrong

  • “You don’t have the permissions to connect workspaces.” Your Octopods role is not Admin. Ask your Octopods account admin to upgrade your role or to connect the workspace for you.

  • The customer platform won’t let you approve access. You’re missing admin rights on Intercom or HubSpot. Ask a colleague with admin access to complete the connection.

  • The workspace is already connected to another Octopods account. Each Intercom workspace or HubSpot portal can only be connected to one Octopods account at a time. If you need to move it, contact Octopods support.

  • You connected the wrong account. Open the customer platform and confirm which workspace or portal is currently selected, then start the connection again from the right account.
