When to update your billing info
Update your billing information any time you:
Move to a new business address.
Change country — tax treatment may change with it.
Register for or update your EU VAT number.
Rename the legal entity the invoices are issued to.
Changes take effect immediately and apply to every future invoice on your account.
Open the Billing Address card
Sign in to Octopods and open Billing & Subscriptions from your account menu.
Scroll to the Billing Address card on the page.
The form shows your current address pre-filled from the last update.
Fill out the form
The Billing Address form has these fields:
Address line 1 — Street address.
Address line 2 — Apartment, suite, floor, etc. (optional).
City
State / Province
ZIP / Postal code
Country — Pick your country from the dropdown.
VAT Number — Only required for EU businesses that want reverse charge applied. Enter it in the standard format for your country (for example,
DE123456789). Leave blank if you’re not an EU business.
The form note below the VAT field reads: “For EU businesses to reverse charge VAT”. See VAT and Tax Handling for how the VAT number affects your invoices.
Save the changes
Review the full form once you’re done editing.
Click Update Billing Details.
The button reads “Updating billing details…” while the change is saved.
Your billing address and VAT number are now updated for all future invoices. Existing past invoices keep the details that were on file when they were issued.
What appears on your invoice
The billing address and VAT number you save here are printed on every invoice PDF. If you need a specific legal entity name or address to appear on invoices for your accounting team, make sure that’s what’s entered in the Billing Address form.
Country affects tax
Picking a country does more than set the mailing address — it also decides which tax rate applies to your invoices:
EU countries — VAT is applied based on your country and whether you’ve supplied a valid VAT number.
Non-EU countries — invoices are issued without VAT.
If you change your country, your next invoice reflects the new tax treatment. See VAT and Tax Handling for the details.
Tip: If your business name changes, enter the new name on the first line of the address (or wherever your accounting team wants it to appear) so it shows up at the top of every future invoice.
